Duties and responsibilities in terms of archiving

Documents produced or received by UNIL units and their employees (administrative staff and teaching staff) are public archives. Managing them is a legal obligation.

The units are responsible for preserving their archives for the first 10 years of the files' life (administrative and legal life of the files). After this period, the units are required to transfer their files to UNIRIS, which is responsible for their historical archiving or disposal. Apart from a few exceptions, the archives may not be destroyed by the units (law on archiving, art. 6).

In 2015, the Direction of UNIL validated Directive on Information Resources and Archives.

Private archives linked to UNIL

Any person or association linked to the institution may offer to donate its archives to UNIL. UNIRIS will ensure the historical preservation, visibility and use of these archives. The terms and conditions of the donation are defined by the two partners in a deposit agreement.
UNIRIS reserves the right to refuse private archives that do not fall within the scope of its missions.
